When it comes to staffing events, there are many different titles and roles used to describe the various positions and functions of staff. If you’re planning an upcoming event, it is important to have considered all of the different staff you might need and what duties need fulfilling.
In this guide we will be covering a selection of different roles and what their responsibilities are.
Roles
Host/Hostess: A person who welcomes guests and ensures their comfort during an event.
Event Staff: Employees or individuals hired to work at an event, providing various services such as registration, ushering, or crowd management.
Conference Staff: Those who assist in the planning and execution of conferences, including administrative tasks, logistics, and attendee support.
Brand Ambassador: A person who represents and promotes a brand, product, or service, often engaging directly with consumers to build brand awareness and loyalty.
Event Host/Hostess: Those responsible for hosting or emceeing an event, guiding attendees through the programme and ensuring a smooth flow of activities.
Event Manager: Manages the event including staff and clients. They help communication across the event team, ensure the highest standard of delivery, and report feedback to client.
Event Coordinator: Oversees the work of staff before and during the event. They communicate with the event managers to ensure the event runs smoothly.
Marketing and Public Relations Specialist: Creates marketing plans to attract the target audience.
Bar Staff: Serves drinks and sometimes food to the event attendees, they manage the cash register, handle payments, stock supplies, and clean up after the event.
Caterer: Provides food and drink to event attendees, often preparing and cooking fresh food at the event.
Event Crew Member: Responsible for the assembly and disassembly of event infrastructure, this can include stages, seating arrangements, and crowd control barriers.
Security/Stewards: Event security may need special training and qualifications, but many event security staff are actually stewards whose primary roles is to focus on safety and crowd management rather than high-risk security measures.
Whilst job titles and main responsibilities might differ from role to role, there are a few skills that will help all event staff carry out their duties:
Time Management: To keep an event running smoothly, good time management will be crucial. Deadlines must be kept, and scheduling will help an event stay on track.
Communication: Make sure all staff are on the same page by keeping communication channels open and clear. Communication between other event staff and event attendees will be the key to a successful event.
Teamwork: A good event will mean needing to rely on one another to make sure everything goes as planned. Good teamwork will mean being able to successfully delegate tasks and ensure everything gets done.
Social Awareness: Being aware of what is happening around you can help staff identify areas attendees might not be enjoying/happy with and can therefore be rectified.
